Job Description



 Responsible for greeting visitors, receiving and directing incoming phone calls, preparing office documents and reports, filing, providing clerical support to the facility and other administrative duties as outlined below.

  • Receive incoming telephone calls, identify caller and transfer to appropriate staff member or to voice mail as directed.
  • Monitor Reception area and rest rooms for visitor GMPs, water, cleanliness and paper products.
  • Receive and sort incoming standard mail and daily package deliveries, i.e., Fed Ex, UPS, USPS, and distribute to recipient or as otherwise directed. Prepare outgoing mail and FedEx for shipment by applying postage using a postal meter or by completing and affixing a shipping label. Arrange for special shipments as required.
  • Receive incoming visitors with courtesy and in compliance with organization security requirements and other visitor policies; notify staff members when visitors arrive and direct them as required.
  • Data entry and report distribution, i.e., absenteeism report, confidentiality agreement log, etc.   Manage/distribute/inventory office supply items. Handle vending machine refunds. Manage copier/printers for equipment maintenance, paper jams, etc. Ensure recycling of toners and batteries. Serve as technical support of Microsoft products.   Serve as liaison between plant personnel and Corporate IT. Serve as support for Customer Service for input of product sales into SAP inventory system.
  • File documents in a timely and accurate manner.   Create new files as required; discard old files in accordance with organization’s record retention program.
  • Prepare, fax or copy a variety of forms, documents and reports as requested by management or professional staff.
  • Interpret verbal and written communication for management and plant employees from and to Spanish and English.
  • Assist in the application process; set up interviews, set up drug screens, initiate background checks
  • Process HRIS data entry; enter new hires, terminations, promotions, employee changes, and rate increases.
  • Post announcements as well as any job postings or office communication   internally
  • Assist in the facilitation of new hire orientation.
  • Assist in tracking attendance records, vacations, and leave of absences.
  • Mail any documentation as directed.
  • Create reports as needed.
  • Perform other duties as assigned.

Job Requirements


  • Associate degree or equivalent in experience
  • Strong interpersonal and communication skills
  • Ability to operate a variety of standard office equipment including but not limited to a copier, fax machine, postage meter.
  • Must have excellent organizational skills to function in a high pressure, multi-faceted environment.
  • Ability to quickly and accurately enter data from absenteeism voice mail and paper reports into a variety of software programs.
  • Ability to operate, or learn to operate, a telephone switchboard to receive and relay incoming calls and SAP inventory system to accurately enter Sales Orders.
  • Must be bilingual and have the ability to speak, read and write in English & Spanish
  • 1-3 years of office or clerical experience
  • Proficient knowledge of personal computers and Microsoft Office: Outlook, Word, Excel and Publisher
